Documentum X-Plans

Understanding OpenText's new documentum licensing model

If you’re planning to upgrade OpenText Documentum, you’ve probably heard about X-Plans. OpenText introduced X-Plans as its new licensing model for modern Documentum deployments, replacing the traditional legacy licensing model for newer versions of the platform.

Whether you’re trying to understand what X-Plans are, determine if they apply to your organization, or decide which plan is right for you, the information below provides a straightforward overview of the new licensing model and what it means for your Documentum environment.

What are X-Plans?

X-Plans are OpenText’s new tiered licensing model for Documentum Content Management. Instead of individually licensing products and features, X-Plans bundle related capabilities into three purpose-built plans designed for common business scenarios.

The three available plans are:

  • X1 (Express) – Core content management capabilities for everyday document management and team productivity.
  • X2 (Premium) – Everything included in X1, plus advanced workflow, document generation, and enterprise application integrations.
  • X3 (Ultimate) – Everything in X2, plus OpenText Core Capture, Core Share, and Core Signature for organizations that need intelligent capture, secure collaboration, and digital signatures.

The goal is to simplify licensing while making it easier for organizations to purchase and deploy the capabilities they need.

Do I need X-Plans?

The answer depends on the version of Documentum you’re running.

If your organization is running Documentum 23.4 or earlier, you can continue using the existing legacy licensing model. Upgrading to X-Plans is not required simply because the licensing model exists.

However, if you’re planning to upgrade to Documentum 24.x or newer, X-Plans become part of the upgrade process because these newer versions use the new licensing model.

For many organizations, this means the licensing conversation naturally happens during a Documentum upgrade project rather than during day-to-day operations.

Understanding X1, X2, and X3

Each X-Plan builds upon the previous one, providing additional capabilities for organizations with more advanced business requirements.

X1 – Express

Designed for organizations looking for core enterprise content management capabilities, including document management, workflow, governance, business workspaces, Microsoft 365 integration, and extensibility through APIs.

X2 – Premium

Includes everything in X1, while adding document generation and enterprise integrations for applications such as SAP S/4HANA, SAP SuccessFactors, Salesforce, and Guidewire.

X3 – Ultimate

Includes everything in X2 and expands the platform with OpenText Core Capture, OpenText Core Share, and OpenText Core Signature for organizations requiring intelligent capture, secure content sharing, and digital business transactions.

What About OTDS?

One important change introduced with X-Plans is the use of OpenText Directory Services (OTDS) for license management.

When deploying newer versions of Documentum:

  • OTDS is used to manage and allocate X-Plan licenses.
  • A new license file is installed within OTDS.
  • Documentum users are synchronized with OTDS so licenses can be assigned appropriately.

If you’re upgrading from an older Documentum environment, OTDS planning is an important part of the overall upgrade strategy.

Frequently Asked Questions

What are X-Plans?

X-Plans are OpenText’s new licensing model for Documentum Content Management, providing three tiered plans—X1, X2, and X3—that bundle features together based on common business needs.

Do I have to upgrade to X-Plans?

Not necessarily. Organizations running Documentum 23.4 or earlier can continue using the legacy licensing model. X-Plans become relevant when upgrading to Documentum 24.x or newer.

Will every Documentum customer need X-Plans?

Not immediately. Whether X-Plans apply depends on your current Documentum version and your organization’s upgrade plans.

Why are organizations running into X-Plans now?

Many organizations are upgrading to newer versions of Documentum for security updates, infrastructure modernization, or newer platform capabilities. Since Documentum 24.x and later use the X-Plans licensing model, customers often encounter these licensing changes as part of their upgrade planning.

Can I stay on my current licensing?

Yes, provided you remain on a supported version of Documentum that still uses the legacy licensing model. If you upgrade to Documentum 24.x or newer, the new X-Plans licensing model applies.
